Best HR Software for Restaurants in 2026

Seven scheduling, clock-in, tip and payroll tools for hourly restaurant teams, priced for a 25-person site on the vendors' own pages in October 2026.

TL;DR

For one restaurant with about 25 hourly staff, Homebase Essentials at $30 per location per month is the most complete fit. That price covers unlimited employees, and its $25 per location Tip Manager pulls tips from the point of sale into timesheets, which is the step we would check first. If payroll is the bigger problem, Square Payroll is $35 a month plus a per-person fee, and Restaurant365 adds tip pooling and tax filing for groups, though it publishes no list price.

On a tight budget, Sling's free plan schedules up to 30 people at no cost, and Connecteam's Small Business Plan is free for up to 10 users. Deputy Core costs more per user, but it is the heavier scheduler, with auto-scheduling and labor optimization for sites that forecast demand by day. For the wider category, read our best HR software roundup first.

Toolradar data: Toolradar's ranking of restaurant management, food delivery and F&B tech evaluates 106 tools, and 6 of them have a free plan (October 2026). Most HR software is built for office staff, so restaurant buyers end up bending it. Hourly teams need shift swaps that work on a phone, a clock that works on a shared tablet at the host stand, tip pools that reach payroll correctly, and a labor cost figure the owner can read before the week closes. Our Homebase review covers one of these tools in more depth.

This list covers seven tools whose pricing we checked on each vendor's own pricing page on 10 October 2026. Methodology: we kept only the plans and figures each page prints, in US dollars, and ordered the seven by fit for hourly restaurant teams (tip handling, shift swaps, labor cost and payroll links), not by feature count.

1 Homebase logo
Top Pick

Homebase

Scheduling, clock-in and tip pools for one site, at a flat price per location that does not rise with headcount.

Pricing
Basic free for 1 location and 10 employees; Essentials $30 per location per month; Tip Manager $25 per location

Best for: Single-location restaurants and cafes with hourly staff who need tips in payroll

Pros

  • Tip Manager pulls tips from the point of sale, calculates the pool and adds it to timesheets as an add-on.
  • Essentials covers unlimited employees at a flat price per location, so a 25-person team pays the same as a 10-person team.
  • Payroll is an add-on, and the page shows six months free on a limited offer.

Cons

  • Basic is free only for one location and up to 10 employees, so the 11th hire or a second site moves you onto a paid plan.
  • The AI Scheduling Assistant and PTO controls sit on Plus, printed at $70 per location per month beside a $0 limited offer.
2 Sling logo

Sling

A free scheduler for small crews, with time tracking and labor cost tools on a paid plan.

Pricing
Free for up to 30 users (scheduling only); Premium $2/user/mo ($1.70 billed annually); Business $4/user/mo

Best for: Restaurants with up to 30 hourly staff that want a free scheduler before paying for time tracking

Pros

  • Shift scheduling is free for up to 30 users, with time-off requests, available shifts and long-term schedules on the free plan.
  • Premium adds mobile time tracking, labor cost management and overtime tracking on the per-user plan.
  • Business adds kiosk time tracking on a shared device, plus no-show, sick call-out and PTO tracking.

Cons

  • The free plan has no time tracking, so hours still need recording somewhere until you pay for Premium.
  • No tip feature is listed on the pricing page, so tip pools need a separate step.
3 Deputy logo

Deputy

Scheduling and labor control for busy sites, with auto-scheduling and demand forecasting from the Core plan.

Pricing
Lite $5, Core $6.50 and Pro $9 per user per month (USD, excluding taxes)

Best for: Shift-heavy sites that want forecasting, auto-scheduling and biometric clock-in

Pros

  • Core adds auto-scheduling, demand forecasting, labor optimization and wage budgets, the tools that matter when covers swing by day of the week.
  • Biometric clock-in is on Core, which ties each punch to the person clocking in rather than a shared code.
  • Deputy Payroll enabled by Paycor sends approved timesheets, pay rates and leave to Paycor with one click, as a paid add-on with a monthly base fee.

Cons

  • Lite, Core and Pro carry a minimum spend per invoice on monthly billing, from September 2025, which bites on a small site.
  • Payroll is available only on annual Core and Pro plans in the US, so a monthly plan cannot add it.
4 When I Work logo

When I Work

Scheduling with OpenShifts, shift swaps and POS and payroll integrations from the entry plan.

Pricing
Essentials $2.50, Pro $5 and Premium $8 per user per month; no free plan, 14-day free trial

Best for: Multi-location groups that want scheduling, POS links and payroll integrations on a per-user plan

Pros

  • Essentials includes auto scheduling, OpenShifts, shift swapping, payroll and POS integrations from the entry plan.
  • Pro adds scheduling rules, role permissions and labor sharing, which matter when staff move between sites.
  • The 14-day free trial needs no credit card, so a manager can run a real week of shifts before paying.

Cons

  • There is no free plan, and the Time Tracking and Attendance add-on has no published price.
  • The pricing page is silent on tips, so tip pooling needs another tool or a manual step.
5 Connecteam logo

Connecteam

A clock, basic scheduling and checklists in one app, priced flat for the first 30 users.

Pricing
Free for up to 10 users; Operations Basic $29/mo for the first 30 users on yearly billing

Best for: Deskless teams under 30 people that want a free start with GPS clock-in

Pros

  • The Small Business Plan is free for up to 10 users and includes every hub, not a cut-down version.
  • Operations Basic includes GPS clock-in, basic scheduling with open shifts and payroll integration at a flat price for the first 30 users.
  • Unlimited checklists, forms and tasks cover opening and closing routines without a separate tool.

Cons

  • Scheduling on Basic is basic, and multiple time clocks start on the Advanced plan.
  • No tip handling is listed on its pricing page, so tip pools need a separate step.
6 Square Payroll logo

Square Payroll

Payroll that imports hours and direct tips from Square POS, billed per person paid.

Pricing
Full-service payroll $35/mo plus $6 per person paid; a contractor-only plan is also sold

Best for: Restaurants already running Square POS that want tips and hours in payroll without re-keying

Pros

  • Direct-tip tracking and importing is included on full-service payroll, and timecards import from Square POS or the Square Team App.
  • Labor-cost reporting covers wages and tips together, so the labor view is not missing the tip line.
  • Full-service payroll includes unlimited pay runs per month, multistate payroll and next-day direct deposit.

Cons

  • Scheduling is not the product, so a shift tool still sits alongside it.
  • Contractor-only payroll does not include direct-tip tracking, which is a full-service feature.
7 Restaurant365 logo

Restaurant365

A restaurant back office with payroll, tip pooling and automated tax filing, sold by quote.

Pricing
Custom quote only; the pricing page offers a custom quote and contact sales, with no list price

Best for: Multi-unit restaurant groups that want payroll, tip pooling and accounting in one system

Pros

  • Payroll covers automated tax filing, tip pooling and wage calculations, according to the feature list on its pricing page.
  • Custom reports work across locations, brands or concepts, which matters for groups running more than one format.
  • Training programs are customizable from one shop to 100, so the same platform can grow with the group.

Cons

  • There is no list price, so a budget comparison needs a sales conversation first.
  • It is heavier than a scheduler. Most of the value is in accounting and payroll, so a single cafe with only a schedule problem is paying for the wrong tool.

What it is

Restaurant HR software covers three jobs. It schedules shifts, it records hours and breaks, and it turns those hours and any tips into a payroll run. Some vendors start from the schedule, like Sling, Deputy and When I Work. Others start from the time clock, like Homebase, and a few start from payroll or the restaurant back office, like Square Payroll and Restaurant365. Where a product started still shows in what it does best, so the origin is a useful first filter. If you only need a schedule, our shift scheduling software list covers that narrower job. The payroll side is covered in our payroll software guide.

Why it matters

Two costs matter more than the monthly fee. The first is tip handling. On the pricing pages we read, only Homebase, Square Payroll and Restaurant365 mention tips at all. Everywhere else, a tip pool is a spreadsheet step that someone has to remember on every payday, and a mistake there is an employee-relations problem as well as a payroll error.

The second is labor cost. A schedule that runs over budget shows up in the margin, usually weeks later. Only tools that compare scheduled hours with sales or flag overtime catch it while there is still time to act. Pricing structure matters for the same reason. A per-user price rises with every server you hire, while a flat price per location does not, so the right answer depends on how many people you will have on the books at peak. If you are comparing time clocks specifically, our time clock software guide goes deeper on punch methods.

Key features to look for

Tip handlingEssential
Whether the tool calculates the pool, imports tips from the point of sale and puts the split on the timesheet. Only Homebase, Square Payroll and Restaurant365 say so on their pricing pages.
Clock-in method
PIN, GPS, photo or biometrics, and whether one shared device can run at the host stand. Deputy Core adds biometric clock-in, and Sling Business adds kiosk time tracking.
Shift swaps and open shifts
Staff should offer a shift, pick up an open one and get approval without a phone call to the manager. Deputy Lite and When I Work list shift swapping, and Sling's free plan shows which shifts still need filling.
Labor cost and overtimeEssential
Scheduled hours against sales, overtime tracking and wage budgets. Sling Premium includes labor cost management and overtime tracking, and Deputy Core adds wage and labor budgets.
Payroll and point-of-sale linksEssential
Whether approved hours and tips leave the scheduler without re-keying. Homebase Payroll runs inside Homebase, Deputy Payroll sends timesheets to Paycor, and When I Work's Essentials plan includes payroll and POS integrations.

Pricing

Prices were read on each vendor's pricing page on 10 October 2026, in US dollars. Homebase, Sling, Deputy, When I Work, Connecteam and Square Payroll print their prices. Restaurant365 prints none.

Scenario: one location, 25 hourly staff, all on the schedule and the clock. Homebase Essentials is $30 a month whatever the headcount. Connecteam Operations Basic is $29 a month on yearly billing for up to 30 users. Sling Premium is $50 a month (25 times $2), or $42.50 billed annually. When I Work Essentials is $62.50 (25 times $2.50), and Deputy Core is $162.50 (25 times $6.50).

Payroll for the same 25 paid employees adds Square Payroll at $185, Homebase Payroll at $199 ($49 plus 25 times $6) and Deputy Payroll at $249 ($49 plus 25 times $8, on annual Core or Pro). Homebase Tip Manager adds $25 a month, so the Homebase stack for scheduling, clock and tips comes to $55 before payroll. The ranking flips with size. Sling Premium matches Homebase at 15 staff and costs less below that, and When I Work Essentials matches it at 12. Our free payroll software guide covers the payroll side for teams that do not need a full suite.

Who it's for

Homebase suits a single restaurant or cafe with a stable team, because its flat per-location price does not change as headcount grows. Sling suits a small crew that wants a free scheduler now and a time clock later. Deputy suits a multi-site restaurant that wants forecasting, and When I Work suits a group that wants a plain per-user plan with POS links.

Connecteam fits a deskless team under 30 that wants a clock and checklists in one app, and it is the one to check if you are also looking at free HR software. For a free clock on its own, see our free time clock apps list. Square Payroll fits a Square POS restaurant that needs the payroll run. Restaurant365 fits a multi-unit group that wants back office and payroll in one system and will take a sales call to get a price.

Mistakes to avoid
×Pricing a per-user scheduler without the clock. When I Work's entry per-user price looks cheap until you add the Time Tracking and Attendance add-on, which has no published price.
×Assuming tips reach payroll on their own. Only Homebase, Square Payroll and Restaurant365 mention tips on the pricing pages we read, so ask which tool calculates the pool and which one posts the split to the payroll run.
×Starting on a free tier for a site that will outgrow it. Homebase Basic stops at 10 employees, Connecteam's Small Business Plan at 10 users and Sling's free scheduler at 30, and each limit is the point where the paid plan starts to matter.
Expert tips
→Model the bill at your peak headcount, not the quiet-season team. Homebase's flat per-location price stays the same while a per-user price climbs with every summer hire, so the crossover point decides which one is cheaper for you.
→Ask for a sample timesheet export before you sign. The check is whether tip splits come out as their own line, because a tip error is the payroll mistake staff remember longest.
→Run a real week of shifts on a trial before you commit. When I Work offers 14 days without a card, and Sling's free plan lets you test scheduling before any payment.

The bottom line

For one restaurant with 25 hourly staff, Homebase Essentials is the most complete starting point at a flat price per location, and the Tip Manager is the reason to pick it over Sling's free plan. If scheduling is the only job, Sling is free up to 30 people, and Connecteam is free up to 10 users. For tips in payroll, check Square Payroll or Restaurant365 before you sign anything. For the full category, see our HR software guide, and if you are still choosing between a full HRIS and scheduling, read best HRIS for small business.

The mistake to avoid is buying a per-user scheduler for a team that will grow past the point where per-user pricing costs more than a flat plan, or paying for a back office when you only need a schedule. Get a sample export, check the tip split, and confirm the price at your peak headcount.

Frequently asked questions

What is the best HR software for restaurants in 2026?

For one restaurant with about 25 hourly staff, Homebase Essentials is the most complete fit at a flat price per location, because its Tip Manager moves tips from the point of sale into timesheets. For a small crew on a tight budget, Sling's free plan schedules up to 30 people at no cost, with time tracking on Premium.

How much does restaurant scheduling software cost?

Per user, Sling Premium costs $2 a month on monthly billing ($1.70 billed annually), When I Work Essentials costs $2.50 and Deputy Core costs $6.50. Flat-rate options are Homebase Essentials at a flat price per location and Connecteam Operations Basic at $29 a month on yearly billing for up to 30 users. Prices were checked on the vendor pages on 10 October 2026.

Is there a free HR tool for a restaurant?

Yes, with limits. Connecteam's Small Business Plan is free for up to 10 users across every hub, Homebase Basic is free for one location and up to 10 employees, and Sling's free plan covers shift scheduling for up to 30 users but no time tracking.

Which restaurant HR tools handle tips?

On the pricing pages checked on 10 October 2026, three mention tips: Homebase (its Tip Manager add-on), Square Payroll (direct-tip tracking on full-service payroll) and Restaurant365 (tip pooling in payroll). Deputy, Sling, When I Work and Connecteam do not mention tips on their pricing pages.

Is Sling or Deputy cheaper for a restaurant?

Sling is cheaper per user. Its paid plans start below Deputy Lite, the entry Deputy plan. Deputy Core costs more, but it adds auto-scheduling, demand forecasting and labor optimization, so the higher price buys a different kind of scheduler, and monthly Deputy plans carry a minimum spend per invoice.

Do I need payroll software as well as scheduling software?

Usually yes. A scheduler records hours, but payroll runs and tax filing are separate. Homebase and Deputy sell payroll as an add-on with a monthly base fee plus a per-person charge, and Square Payroll charges a monthly fee plus a per-person fee. Confirm that the payroll product handles tip splits before you choose.
