Square Payroll Review 2026: Pricing, Pros, Cons and Alternatives

Full-service and contractor-only plans, what 5, 10 and 25 people cost each month, and four payroll services with published prices set beside it.

TL;DR

Square Payroll full-service costs $35 a month plus $6 per person paid, so 10 employees come to $95 a month with no contract, verified on Square's pricing page on October 19, 2026. That price earns its keep for a cafe, shop or salon already on Square POS, because hours and tips flow into payroll without anyone retyping them. Contractor-only payroll charges the per-person fee alone, with no base fee.

The trade-offs are a thin HR layer and add-on benefits: health insurance, 401(k) and workers' comp are separate products. A team that needs an HR suite or files in several states with complex rules should compare OnPay and Gusto first.

  • Best for: Hourly restaurants, shops and salons already running Square POS and paying tips
  • Price as of November 1, 2026: 10 people: $95/mo on full-service, month to month; contractor-only has no base fee.
  • Full-service US payroll inside the Square Dashboard, with POS hours and tips flowing into each run.
  • Commitment: Both plans are month to month with no long-term contract.
  • Seasonal teams: Full-service payroll includes free seasonal inactivity for months with no pay runs.
  • Free tier: Square Payroll has no free plan for paying employees.
  • Alternatives covered: OnPay, Homebase, Zoho Payroll, QuickBooks Workforce

Pros

  • Timecards from Square POS and the Team App import into payroll, and full-service adds direct-tip import and overtime math.
  • No long-term contract and free seasonal inactivity, so an off-season month costs nothing on full-service.
  • Multistate payroll and next-day direct deposit are on the full-service plan rather than a higher tier.

Cons

  • Health insurance, 401(k) and workers' comp are add-ons, so the base plan is payroll rather than a benefits desk.
  • Payroll specialists answer on weekdays only, from 6 a.m. to 6 p.m. Pacific.

Square Payroll is the obvious first look for a business whose registers already run on Square. The integration is the reason to buy it: timecards from Square POS or the Square Team App import straight into a pay run, and direct tips are tracked and imported on the full-service plan.

The price is simple enough to multiply in your head, and that simplicity is rarer than it should be in payroll. There is one base fee, one per-person fee, and no annual commitment, so a seasonal restaurant can stop paying when the patio closes.

Toolradar data: Toolradar, the software directory we run, tracks 75 payroll tools as of October 19, 2026, and the median cheapest paid plan across the 22 that publish a price is $22 a month, according to its payroll ranking.

Square's base fee sits above that median before a single employee is added, so the case for it rests on the POS link rather than on the sticker.

The comparison set is OnPay, Homebase payroll, Zoho Payroll and QuickBooks Workforce, each with a US price on its own page. Gusto is covered in our separate review.

How we compared: every figure was read on the vendor's own pricing page on October 19, 2026, monthly totals are our multiplication of published fees, and we did not run payroll on any of these services.

What is Square Payroll?

Square Payroll is a US payroll service from Block, built into the Square Dashboard and sold in two plans. Full-service payroll calculates pay, withholds and files federal and state payroll taxes, handles new-hire reporting and runs payroll automatically if you want it to.

Contractor-only payroll pays 1099 workers from the same dashboard. It skips the employer tax filings, auto payroll and multistate features, which a business with no W-2 staff does not need anyway.

People can be paid by check, direct deposit or into Cash App, and Cash App users get their pay instantly. The product sits inside a wider staff suite of shifts, team communication and the Team App, so a business already using those tools adds payroll rather than a new system.

How Square Payroll works

You set up the company in the Square Dashboard, add team members, who can onboard themselves, and choose a pay schedule. Pay runs are unlimited on both plans, so an off-cycle bonus does not cost a second fee on full-service.

Hours come in from Square POS or the Team App timecards, and full-service also calculates overtime and imports direct tips. That is where the time saving is real for an hourly team: the manager approves hours in one place instead of retyping them into a payroll form.

Full-service offers next-day direct deposit and a two-day processing option you can apply for; the standard window is four business days. Square then pays and files the federal and state taxes, including state unemployment where it applies, and delivers W-2s and 1099s digitally.

Payroll specialists answer on weekdays from 6 a.m. to 6 p.m. Pacific, with live help for account setup, which covers most of the East Coast business day but not a Saturday payroll question. Reports, custom reports and a QuickBooks Online integration are included on both plans.

Square Payroll key features

Square POS timecard and tip importEssential
Hours from Square POS or the Team App import into payroll on both plans, and full-service adds direct-tip tracking and overtime calculation. For an hourly restaurant or retail team, this removes the weekly re-keying of hours.
Full-service tax filingEssential
Full-service calculates, pays and files federal and state payroll taxes, including state unemployment where applicable, and handles new-hire reporting. Multistate payroll is included rather than sold as a higher tier.
Free seasonal inactivityEssential
A full-service account can sit inactive during the off-season without paying, which matters for a beach shop or a holiday-only business. Contractor-only payroll does not list this feature.
Fast pay options
Next-day direct deposit is on full-service, and Cash App users get their paycheck instantly on both plans. Split deposits to more than one bank account are included too.
Scheduling and labor-cost reports
Full-service includes scheduling up to 10 days out and labor-cost reporting across wages and tips, so a manager can see what a week of shifts costs before payday.
Benefits as add-ons
Health insurance, 401(k) and workers' compensation are add-ons on full-service, while benefit deductions and garnishments are included. Contractor-only payroll lists workers' comp as an add-on but not health insurance or 401(k).

Square Payroll pricing

Prices below were read on October 19, 2026, on Square's payroll pricing page.

The alternatives come from OnPay pricing, Homebase pricing, Zoho Payroll pricing and QuickBooks payroll pricing.

Every monthly total is our multiplication of a published base fee and a published per-person fee.

Square bills only the people you pay that month. A 5-person team costs $65 a month on full-service, 10 people cost $95, and 25 people cost $185, all month to month. The only published extra is $3 a year per paper W-2 or 1099 if you opt into mailed copies, and digital delivery is free.

At 10 people paid monthly with no commitment, Square is the lowest list price in this set. OnPay and Homebase payroll both come to $109 a month at that size, and Zoho Payroll Standard billed monthly comes to $99. Zoho drops to $79 a month at 10 people if you pay yearly, so a team willing to commit for a year can beat Square's monthly price.

QuickBooks Workforce with Simple Start lists $88 a month plus $6.50 per employee at the regular rate, with 50% off the base for the first 3 months. That bundle includes QuickBooks accounting, so it is a fair comparison only for a business that would buy the bookkeeping software anyway.

Promotions move the first-year math. Homebase advertises its first 6 months of payroll free, and OnPay offers the first month free, so the cheapest first year is not always the cheapest third year.

Square Payroll pros and cons

What we like

  • Timecards from Square POS and the Team App import into payroll, and full-service adds direct-tip import and overtime math.
  • No long-term contract and free seasonal inactivity, so an off-season month costs nothing on full-service.
  • Multistate payroll and next-day direct deposit are on the full-service plan rather than a higher tier.

What could be better

  • Health insurance, 401(k) and workers' comp are add-ons, so the base plan is payroll rather than a benefits desk.
  • Payroll specialists answer on weekdays only, from 6 a.m. to 6 p.m. Pacific.

Who Square Payroll is for

Square Payroll fits a small hourly business already on Square POS. A 10-person cafe that tracks hours on the register and pays tips is the clearest yes, because the tip import and overtime math replace a weekly spreadsheet and the bill stays under $100 a month.

It also fits a seasonal business. Free seasonal inactivity and the absence of a contract mean an off-season month costs nothing, which an annual plan elsewhere cannot match.

Skip it if the job is HR, not payroll. Square's pricing page lists employee self-onboarding and compliance alerts, but no performance reviews or PTO workflows, so a growing office team will outgrow it.

The payroll software for small business ranking covers services with deeper HR.

A business with no Square hardware loses the main advantage. At that point the comparison is price and support hours, and the best payroll software list or the free payroll software options may suit better.

For a scheduling-first stack, the Connecteam vs Homebase comparison shows the alternative to Square's staff tools.

The bottom line

Buy Square Payroll full-service when your hours and tips already live in Square POS and you want payroll that costs under $100 a month at 10 people with no contract. The tip import and seasonal pause are the features that justify it over a cheaper yearly plan.

Do not buy it as an HR system. Benefits are add-ons and the HR tools are thin, so a team that needs onboarding workflows and PTO management should price OnPay with its HR add-on, or read the Gusto review and Gusto pricing.

A scheduling-first team should look at Homebase pricing, and a team that can commit for a year should price Zoho Payroll's annual plan. How we review tools is explained on the how we review page.

Frequently asked questions

Is Square Payroll worth it in 2026?

Yes, for a small hourly business already using Square POS, because timecards and tips import into payroll and the full-service bill for 10 people is $95 a month with no contract. It is a weaker buy for an office team that needs HR workflows, or for a business with no Square hardware, where the integration advantage disappears and other services compete on price and support hours.

How much does Square Payroll cost?

Full-service payroll is $35 a month plus a fee for each person paid that month, which puts 10 people at $95, and contractor-only payroll charges only the per-person fee, verified on Square's pricing page on October 19, 2026. Both plans are month to month. Mailed paper W-2s or 1099s are optional and carry an annual fee per form; digital copies are free.

Does Square Payroll have a free plan?

No. Square Payroll has no free plan for paying employees. Full-service does include free seasonal inactivity, so a business that stops paying people for part of the year does not pay for those months. Homebase offers free scheduling with a paid payroll add-on, which is the closest free starting point in this comparison.

Does Square Payroll handle tips?

Yes, on the full-service plan. Square tracks and imports direct tips from Square POS, calculates overtime and includes labor-cost reporting that covers wages and tips. Contractor-only payroll does not include tip tracking, so a tipped team needs full-service.

How does Square Payroll compare with OnPay?

Square is cheaper at 10 employees and better for a business already on Square POS, thanks to the timecard and tip import. OnPay lists a higher base fee with the same per-worker fee, offers the first month free, and sells HR, time tracking and live HR support as add-ons, so it suits a team that wants payroll plus an HR layer from one vendor.
