This guide splits eight tools into two groups: three that list a free plan and five that offer only a trial.

Free employee scheduling software lets a manager build a weekly rota, publish it to staff phones, and handle shift swaps and open shifts without a spreadsheet. The word free covers three different offers: a free plan with a cap on people or locations, a trial that ends in a paid plan, and a free tier that covers clock-ins while scheduling costs more.

This guide counts only the first as free.

Why it matters

A trial is the quickest way to waste a week. You build the rota, load your staff, and the bill arrives the day the trial ends, when the schedule is already live for your people. A capped free plan works differently: you know the ceiling before you start.

A 10-person cap is fine for a six-person cafe and a blocker for a 12-person one.

A free plan shows on the pricing page with no countdown. A trial has an end date, and when it ends the rota needs a paid plan to keep running. Several trials need no card, but they still convert to a paid plan.
Staff and location caps
Sling caps free use at 30 users. Homebase and Connecteam cap the free plan at 10 people. Homebase also limits the free plan to one location, which matters for a multi-site business.
Shift swaps, availability and overtime
These are the features teams miss first. None of the three free plans clearly lists overtime alerts, and Homebase places shift trading and availability above its Basic plan. Read the feature grid before you assume a feature is included.
Clock-in on the free tier
Sling's free plan has no clock-in, and mobile time tracking starts at its Premium tier. Homebase's Basic plan includes clock-in on tablets, computers and POS devices. Connecteam's free plan includes real-time clock in and out.

Mistakes to avoid
×Treating a trial as a free plan. Deputy, When I Work, Planday, Rotacloud and Shiftie all sell a trial, and none of the five publishes a permanent free plan. If you start a rota on one, plan it for the day the trial ends.
×Ignoring the staff cap until the week you cross it. Sling's 30-user cap and the 10-person caps at Homebase and Connecteam are fixed. A team that grows from nine to twelve staff crosses one of them in a single round of hiring, and the paid step applies from that day.
×Assuming the free plan includes clock-in or overtime. Sling's free plan has no clock-in, and none of the three free plans clearly lists overtime alerts. Check the feature grid rather than the headline before you rely on either.
