Best HR Software for Nonprofits in 2026
Which HR and payroll products a nonprofit can buy, what they cost at a real headcount, and which vendors publish a nonprofit discount you can claim.
For a registered US nonprofit with about 50 staff, BambooHR is the strongest buy in 2026. Core lists at $10 per employee a month, and BambooHR takes a further 15% off for registered nonprofits, so 50 people pay $425 a month before any volume discount it does not print. Zoho People is the budget route, because Zoho for Nonprofits covers half of each purchase from a one-time $5,000 wallet. Connecteam suits hourly and program staff at $29 a month for the first 30 users. Paycor, Paychex and Rippling print no nonprofit rate, so their terms exist only in a quote. Read our BambooHR review before you ask for one.

Nonprofit HR buyers face three problems that a corporate ranking skips. Payroll often has to show where each dollar went across several grants. Budgets are fixed, so a quote-only price is a real obstacle rather than an annoyance. And many organizations run salaried staff, hourly program workers and volunteers side by side. This guide ranks seven products on how well they fit those problems, then on whether the vendor publishes a nonprofit offer of its own.
Methodology: we kept products that a US nonprofit with 10 to 200 staff could realistically buy, read each vendor's own pricing page and its nonprofit page where one exists, and ranked on fit first and published nonprofit terms second. Prices are in USD. Where a vendor prints no number, we say so rather than estimate one.
Toolradar data: Toolradar tracks 393 HR and recruiting tools, so the real question for a nonprofit is not which tools exist. It is which ones will sell to a nonprofit at a price it can defend. Our general HR software guide covers the wider market, and Toolradar's profiles for BambooHR and Connecteam sit alongside this list.
Dupple data: on October 10, 2026, we read the pricing page, and the nonprofit page where one exists, for each of the seven products below. Two publish a nonprofit offer on their own site, BambooHR and Zoho. The other five print none.

BambooHR
The clearest published nonprofit offer on this list, and an HR record most teams can run without outside help.
- Pricing
- Core $10/employee/mo above 25 staff, $250/mo flat at 25 or fewer; extra 15% off for registered nonprofits
Best for: US nonprofits of roughly 25 to 100 staff that want one clean HR record
Pros
- Publishes an extra nonprofit discount for registered organizations, so you can budget it before the quote.
- Volume discounts apply automatically as headcount grows, so there is no negotiation to repeat at each renewal.
- A flat $250 a month on Core at 25 or fewer staff keeps a small team's cost known in advance.
Cons
- Its FAQ prints slightly higher Core and Pro prices than its pricing table, so get the per-employee price in writing.
- Payroll and benefits are add-ons with no printed price, and payroll is for US employees only.
Zoho People
Zoho for Nonprofits publishes a credit that covers half of each purchase, and People is the HR module to ask about first.
- Pricing
- No People price on the pages we read; People Plus has a 30-day free trial; Zoho's $5,000 wallet covers half of purchases
Best for: Small and mid-size nonprofits that already run Zoho tools or want a credit to offset the first year
Pros
- Zoho says the wallet covers half of every purchase, so the full spend is cut in half until the balance runs out.
- Verification takes 7 to 10 business days, and registered nonprofits can apply with a TechSoup validation token.
- Donor and volunteer management sit in the same Zoho for Nonprofits program, so one vendor can cover more of the nonprofit stack.
Cons
- The wallet is a one-time credit valid for five years, so it offsets the first years rather than setting a permanent price.
- The program page names excluded Zoho apps but no list of covered ones, so confirm People is covered in writing before you buy.
Paycor
Paycor built a whole nonprofit page around budgets, grants and volunteers, but the price is a sales conversation.
- Pricing
- No list price: Talk to Sales is the only path, and no nonprofit rate is printed
Best for: Nonprofits that want a named payroll and HR vendor with a dedicated nonprofit page and a sales-led rollout
Pros
- Its nonprofit page names volunteer management and grant tracking among the specialized features nonprofit HR can include.
- The page pitches Paycor Analytics at finding labor cost that a tight budget could trim, which suits a board that asks for it.
- Implementation runs through GUIDE, a hands-on process built for busy administrators.
Cons
- Neither the pricing page nor the nonprofit page prints a price, so the cost comparison starts with a sales call.
- No nonprofit discount is published on the pages we checked, so any saving depends on negotiation.
Paychex
A large payroll and HR provider whose nonprofit page speaks to how nonprofit HR teams work, with no printed price to compare.
- Pricing
- No price on its nonprofit page, only Request Pricing; no nonprofit discount is printed
Best for: Nonprofits with an in-house HR lead who want payroll, benefits and HR from one large provider
Pros
- The nonprofit page addresses the constraints nonprofit HR teams face: limited staff, volunteer recruiting next to employee hiring, and nonprofit-specific rules.
- It offers help with payroll, HR and benefits from one provider, which keeps the vendor count down for a small team.
Cons
- The nonprofit page prints no price and no nonprofit discount, and its only pricing path is Request Pricing.
- The page is an overview of services rather than a product comparison, so you need a proposal before you can compare it with other vendors.
Connecteam
A frontline workforce app whose HR hub covers time off, documents, onboarding and hiring for a small team at a low monthly cost.
- Pricing
- HR & Skills Hub from $29/mo for the first 30 users, $0.5/mo per extra user, monthly billing
Best for: Nonprofits with hourly, shift-based or program staff who need time clocks, scheduling and onboarding in one app
Pros
- The HR & Skills Hub includes time off, documents, onboarding, org chart and hiring, which covers an hourly team's basic HR needs.
- The pricing page shows yearly billing saves 18% over monthly, a useful lever for a multi-year budget.
Cons
- Its pricing page does not mention nonprofits or volunteers, so there is no nonprofit rate and no volunteer tracking to plan around.
- It is built around clock-ins and shifts, so salaried finance or development staff get less from it.
Deel
The route for hiring abroad without a local entity, with a clear per-person price, but no nonprofit rate on its pricing page.
- Pricing
- US PEO $125/employee/mo, employer of record $599/employee/mo, contractors $49/contractor/mo; no nonprofit rate
Best for: Nonprofits employing people in other countries without opening a local entity, or hiring contractors abroad
Pros
- US PEO at $125 and employer of record at $599 are printed per employee, so the cost of one hire is easy to check.
- Contractor management at $49 per contractor a month is the cheaper route for a worker who really runs their own business.
Cons
- At an employer-of-record price, the service suits a short bridge while a local entity is set up, not a permanent team.
- No nonprofit rate is printed on the pricing page, so ask for one if the hiring plan is large.
Rippling
One platform for HR, IT and finance that lists non-profits among its industries, but its pricing page sends every buyer to a custom quote.
- Pricing
- Custom quote only for the services you pick; no price and no nonprofit rate printed
Best for: Nonprofits that want HR, IT provisioning and payroll in one system and will take a sales-led quote
Pros
- Its pricing page lets buyers name the services they need instead of picking a fixed tier, which suits a team that wants payroll first.
Cons
- No price and no nonprofit rate appear on the pricing page, so a nonprofit cannot budget from public numbers.
- Custom quotes make it hard to compare against the fixed prices of BambooHR or Connecteam until the quote arrives.
What it is
Nonprofit HR software bundles three jobs that vendors split differently. Payroll runs pay and files payroll taxes, the one part that cannot wait. An HRIS holds the employee record, time off, documents and the org chart. Some products add nonprofit layers such as grant-linked payroll, volunteer tracking or donor-system exports. Our small-business HRIS guide goes deeper on the record-keeping side, so this page focuses on what changes for a nonprofit buyer.
Why it matters
The first cost to a nonprofit is switching cost, the same as for any employer. HR data that moves mid-year while payroll runs is painful, and it is harder to undo when every hour is tied to a grant. The nonprofit-specific cost is grant coding. Paycor's nonprofit page mentions grant tracking and volunteer management, and Paychex's nonprofit page notes that nonprofit HR teams often recruit volunteers alongside employees. Ask each vendor to show how one employee's hours split across two grants, and whether that lands in the fund-accounting system your auditors read. A product that cannot answer that in a demo will cost you at month-end, whatever its list price.
Key features to look for
Pricing
Each price below is verified on the vendor's own site, October 10, 2026, and is in USD. Two products print a nonprofit offer: BambooHR's pricing page adds a discount for registered nonprofits, and Zoho for Nonprofits covers half of each purchase from a one-time wallet.
Take a 50-person nonprofit on BambooHR. Core lists at $500 a month ($10 times 50), and the 15% nonprofit discount brings that to $425, before any volume discount BambooHR does not print. The same arithmetic gives $722.50 on Pro and $1,062.50 on Elite. At 25 or fewer staff, the flat rate is $250 a month on Core, $425 on Pro and $650 on Elite, per the BambooHR pricing page.
With Zoho, the wallet pays half of each purchase, so on a $10,000 spend the wallet pays half of the total and the organization pays the other half. Zoho People Plus's pricing page offers a 30-day free trial with no credit card needed, on monthly or annual billing. Fifty users on Connecteam's HR & Skills Hub Basic plan work out to $39 a month: $29 for the first 30 users plus $0.5 for each of the other 20, at monthly billing. The Connecteam pricing page shows yearly billing 18% lower.
Ten US staff on Deel's US PEO plan cost $1,250 a month at $125 each. A single employer-of-record hire costs $599 a month, per the Deel pricing page. Our Deel review goes into the product in more detail. Paycor's pricing page routes to sales, Paychex's nonprofit page links to Request Pricing, and Rippling's pricing page offers a custom quote. Our Rippling review covers the product itself.
| Plan | Price | Best for |
|---|---|---|
| BambooHR Core | $10/employee/month | Foundational HR record and insights, above 25 staff |
| BambooHR Pro | $17/employee/month | People-focused solutions for the employee experience |
| BambooHR Elite | $25/employee/month | Highest tier on the same per-employee model |
| BambooHR, 25 or fewer staff | $250/month flat (Core) | Flat monthly rate; Pro is $425 and Elite $650 |
| Zoho People | 30-day free trial on People Plus | Monthly or annual billing, no credit card needed for the trial |
| Zoho for Nonprofits credit | $5,000 wallet | Zoho pays half of each purchase until the wallet runs out |
| Paycor | Talk to sales | No nonprofit rate printed; plans sit behind a sales call |
| Paychex | Request pricing | Nonprofit page prints no price and no nonprofit discount |
| Connecteam HR & Skills Hub Basic | $29/month | First 30 users; $0.5 per additional user, monthly billing |
| Deel US PEO | $125/employee/month | US staff through Deel's professional employer organization |
| Deel employer of record | $599/employee/month | Hiring abroad without a local entity |
| Deel contractors | $49/contractor/month | Independent contractors, not employees |
| Rippling | Custom quote | Modules chosen on the quote; no nonprofit rate printed |
The bottom line
For a registered US nonprofit with 25 to 100 staff, start with BambooHR. Its nonprofit discount is printed, its volume discount applies without a request, and the employee record is the easiest one to keep clean. If the budget is the constraint and Zoho's credit covers the modules you need, Zoho People is worth a test quote. Choose Connecteam for hourly and program teams, and Deel only for people you employ abroad. Leave Paycor, Paychex and Rippling for a quote, and only when you want a full suite with a named account team. If you are still small, our startup HR guide sets out what to buy first, and employer of record services covers hiring abroad.
