Seven leave tools priced for a 10-person team, with each free plan's user cap and the first paid tier that keeps balances.

TL;DR

Short answer: Connecteam is the only free plan on this list we can confirm keeps leave balances, with nine time-off policies on its Small Business plan, free on the pricing card for up to 10 users. For a 10-person team on a paid plan, Timetastic records holiday allowances at $1.50 per user per month, or $15 a month. Free tiers are rare: even across Toolradar's time tracking category, only 6 of 105 tools we evaluated have one.

 • Vacation Tracker (best for: Teams that want leave requests and approvals inside Slack, Microsoft Teams or Google Workspace): No free plan, 14-day trial. Core $2 per user per month billed monthly, $25 monthly minimum
 • Sling (best for: Shift-based teams that want free time-off requests now and PTO balances later, on a paid plan): Free for up to 30 users, time-off requests only. Business $3.40 per user per month billed annually

Leave tracking looks like a spreadsheet job until the first holiday request arrives. Someone has to know how many days each person has left, who is away on which dates, and who approved what. A free PTO tracker should handle those three things without a bill, and most do not. This page checks seven leave products on their own pricing pages and asks one question of each: what does a 10-person team pay once the free tier stops?

Toolradar data: of the 105 time tracking tools we evaluated as of October 2026, 6 have a free plan. PTO tools sit in that same pool, so a free tier is the exception here too. Every free plan below has a cap, a missing feature or both.

Hourly time clocks are a different job, covered in the best time tracking software guide. This page is about balances, accruals and approvals.

Top Pick

Connecteam

A workforce app whose free Small Business plan includes nine time-off policies with balance tracking.

Pricing
Free for up to 10 users (Small Business plan); HR & Skills Basic $29/mo billed yearly, flat for 30 users

Best for: Teams of up to 10 that want free leave balances, or a flat-rate HR tool for up to 30.

Pros

 • The Small Business plan includes nine time-off policies that carry a balance, and admin approval for requests.
 • Paid HR & Skills Basic is $29 a month billed yearly, flat for the first 30 users, so a 10-person team pays the same as a 30-person team.

Cons

 • The pricing card says free for up to 10 users, but the FAQ says fewer than 10 employees. A team of exactly 10 should confirm the free tier in writing.
 • It is a workforce app with several hubs, so a team that only wants leave tracking should price the HR & Skills hub alone, not the bundle.
2 Timetastic logo

Timetastic

The lowest paid per-user price on this list that keeps holiday allowances, with unlimited users on Business.

Pricing
No free plan, 30-day trial. Business $1.50 per user per month; Pro $2.50 per user per month

Best for: Small and mid-size teams that want a shared leave calendar and holiday allowances at the lowest per-user price.

Pros

 • Business at $1.50 per user per month puts a 10-person team at $15 a month, the lowest paid bill for balances on this list.
 • Business has unlimited users and departments, a shared calendar of who is off, and holiday allowance records with approvals.

Cons

 • No free plan. The 30-day trial is the only way to test it without paying.
 • Its balances are holiday allowance records, so test them against your carryover and accrual rules in the 30-day trial before you switch.
3 Vacation Tracker logo

Vacation Tracker

A leave specialist with balances and reports on Core, and accruals and multi-level approvals on Complete.

Pricing
No free plan, 14-day trial. Core $2 per user per month billed monthly, $25 monthly minimum

Best for: Teams that want leave requests and approvals inside Slack, Microsoft Teams or Google Workspace.

Pros

 • Requests and approvals run inside Slack, Microsoft Teams or Google Workspace, so staff can stay in the chat app.
 • The page says plans have no user limit, and Core includes leave balance and leave request reports.

Cons

 • The page title says Free, but no free plan is listed. Paid tiers start with a 14-day trial.
 • Accruals and multi-level approvals sit on Complete at $4 per user per month with a $75 monthly minimum, so a 10-person team on Complete pays $75 a month.
4 Sling logo

Sling

A free scheduler that approves and denies time-off requests, with PTO balance tracking only on Business.

Pricing
Free for up to 30 users, time-off requests only. Business $3.40 per user per month billed annually

Best for: Shift-based teams that want free time-off requests now and PTO balances later, on a paid plan.

Pros

 • The free plan lets managers approve or deny time-off requests for up to 30 users without a paid plan.
 • Business adds PTO management, kiosk time tracking and no-show and sick call-out tracking, billed per user.

Cons

 • The free plan has no PTO balance tracking, so the leave total still lives outside Sling.
 • At 10 users Business costs $34 a month billed annually or $40 billed monthly, which is more than Vacation Tracker Core for the same team.
5 Homebase logo

Homebase

A scheduling and clock-in tool whose free Basic plan lists no PTO controls, which start on Plus.

Pricing
Free Basic for one location, up to 10 employees. Plus $56 per location per month billed annually

Best for: Single-location businesses of up to 10 people that need free scheduling and clock-in now.

Pros

 • Basic covers scheduling, basic time tracking and point-of-sale integration for one location and up to 10 employees, at no cost.
 • Plus lists PTO and time-off controls, and the page offers six months of Plus free when you add payroll, as a limited-time offer.

Cons

 • The free Basic plan does not list PTO accruals or balances, so a free start does not track leave.
 • Plus is priced per location, so a two-site team pays $112 a month billed annually, and $70 per location billed monthly.
6 AttendanceBot logo

AttendanceBot

A Slack and Teams time and leave tool, free for up to 5 users, with accruals and balances from Pro.

Pricing
Free for up to 5 users. Pro $6 per user per month billed annually adds leave accruals and balances

Best for: Teams of up to 5 that want a free start, or Slack and Teams teams that need accruals on Pro.

Pros

 • Free for up to 5 users, and Standard at $4 per user billed annually includes custom leave types and approvals.
 • Pro adds leave accruals and balances, custom workweeks and overtime, and timesheet approvals in one plan.

Cons

 • The page does not say which features the free tier includes, so check accruals in writing before relying on the free plan for PTO.
 • At 10 users Pro costs $60 a month billed annually, more than Sling Business or Vacation Tracker Core for the same team.
7 BambooHR logo

BambooHR

A full HR system whose Core plan includes time-off management with accruals and unlimited custom policies.

Pricing
No free plan. Core is a flat $250 per month for 25 employees or fewer, then priced per employee

Best for: Small HR teams that want time off, onboarding and employee records in one system, not a leave tracker alone.

Pros

 • Core includes time-off management with requests, accruals and approvals, plus unlimited custom time-off policies.
 • For 25 employees or fewer, Core is a flat $250 a month, so a 10-person team pays the same as a 25-person team.

Cons

 • The pricing page lists no free plan, and above 25 employees the price moves to a per-employee rate.
 • It is an HR system, so a team that only wants leave tracking pays for records, onboarding and reporting it may not use.

What it is

A PTO tracker records each person's leave balance, takes requests, routes approvals and shows who is away. The balance is the part that matters. A calendar that shows who is out is useful, but it cannot tell you whether someone has five days left or minus two. Some tools add accruals, which earn days each pay period. Others only log what was taken.

Most products here sell leave as one module inside something larger. Connecteam bundles time off into a workforce app. BambooHR keeps it inside an HR record, and Homebase keeps it inside a scheduling tool. Timetastic and Vacation Tracker are built around leave, and AttendanceBot pairs leave with time tracking. That split decides which free plan is useful. A bundled app can be free for a small team and still lack balances, while a leave-only tool may have no free plan at all.

Why it matters

Leave errors cost more than the software. A balance that is one day too high approves a trip the payroll record later cancels, and an approver who cannot see who else is out signs off two people for the same week. Switching later is slow, because balances, carryover rules and approval chains have to be rebuilt in the new tool. A free tier is a poor reason to choose unless it keeps the balance rules you will still use in six months. For how leave sits next to payroll, the best HR software guide covers the wider suite choice.

The free tiers here work for a team of five or ten. They stop being useful at the first rule change, such as a second accrual type, a carryover limit or a second location. Check the rule your company uses most before you choose on price alone.

Key features to look for

Leave balance per personEssential
A running total for each leave type, with the rule that sets it. Without it, approvers check a spreadsheet and the tool only logs requests.
Accruals and carryoverEssential
Days earned each pay period and what happens to unused days at year end. Vacation Tracker lists accruals on Complete, AttendanceBot on Pro, and BambooHR on Core.
Free-plan capEssential
The user or location limit that ends the free tier. Connecteam's card says 10 users, Sling 30, AttendanceBot 5, and Homebase Basic one location and 10 employees.
Approval routing
Who approves and whether a second approver is needed. Connecteam's Small Business plan can require admin approval for requests, and Vacation Tracker lists multi-level and substitute approvers on Complete.
Where requests happen
In Slack, Microsoft Teams or Google Workspace, or only in a web app. Vacation Tracker and AttendanceBot both name Slack and Teams.
Pricing unit
Per user, per location, or flat. Per-user prices grow with headcount, while Vacation Tracker's monthly minimum and BambooHR's flat monthly fee change the cheapest choice for a small team.

Pricing

Methodology: we read the public pricing page of each product on October 10, 2026, and priced a 10-person team at one location in US dollars. Annual prices are used where the vendor shows them, and monthly prices otherwise. We kept products whose public pricing page lists a leave or time-off feature, then ranked them by the cheapest plan that keeps a running leave balance per person at 10 users, with a free plan that does this ranking first. Timetastic calls its balance a holiday allowance record.

Totals at 10 users: Connecteam Small Business is free on its card, and its HR & Skills Basic is $29 a month billed yearly. Timetastic Business is $15 a month. Vacation Tracker Core is $25 a month, because 10 times $2 falls below the $25 minimum. Sling Business is $34 a month billed annually, or $40 billed monthly. Homebase Plus is $56 a month for one location billed annually. AttendanceBot Pro is $60 a month billed annually. BambooHR Core is a flat $250 a month.

Single-location shift teams can also check the free Basic tier in the Homebase review.

Mistakes to avoid
×Counting a free plan as a leave tracker when it only logs requests. Sling's free tier approves and denies time-off requests for up to 30 users, but it does not track paid time off balances.
×Reading the word Free in a product title as a free plan. Vacation Tracker's page title says Free, but the plans it lists are paid, with a 14-day trial.
×Trusting a free-user cap without checking its edge. Connecteam's card says free for up to 10 users and its FAQ says fewer than 10 employees, so a team of exactly 10 needs the answer in writing.
×Comparing monthly and annual prices as if they were the same. Sling Business is $4.00 per user billed monthly and $3.40 billed annually, and AttendanceBot Pro is $9 monthly against $6 annual.
×Forgetting that Homebase prices per location. A second site doubles the Plus bill, so a two-site team should multiply the table figure by two.
Expert tips
→Write down the three balance rules you use most, such as carryover, accrual per pay period and blackout dates, then check each free tier against that list before anyone signs up.
→For a team of exactly 10, ask Connecteam in writing whether the Small Business plan covers 10 users before you move anyone onto it.
→Run one full cycle on a trial before you move the whole team. Timetastic offers 30 days and Vacation Tracker 14, enough to test one request, one approval and one balance check.
→Before adding a separate tracker, check whether your payroll or HR system already tracks leave, using the best payroll software guide as a starting point.

The bottom line

For a team of 10 that wants free leave balances, Connecteam's Small Business plan is the only option on this list, and it is the one to confirm first, because its card and FAQ give different user caps. If the 10-user edge fails, Timetastic is the cheapest paid tracker at $15 a month for ten people, with a 30-day trial. Sling's free plan handles requests but not balances, and AttendanceBot's free tier is capped at 5 users. Choose a BambooHR alternative or the full small business HRIS route only when the record, onboarding and reporting matter more than the leave tool.

Frequently asked questions

What is the best free PTO tracking software in 2026?

Connecteam's Small Business plan is the strongest free option we found. Its pricing card lists it as free for up to 10 users, and it includes nine time-off policies with balance tracking. The FAQ says fewer than 10 employees, so confirm the 10-user edge before a 10-person rollout.

Is there a free PTO tracker for a 10-person team?

Only Connecteam's Small Business plan is free at 10 users and keeps balances, and its card and FAQ disagree on the edge. If the 10-user edge does not hold, Connecteam's HR & Skills Basic is $29 a month billed yearly, flat for the first 30 users. Sling is free for up to 30 users but tracks requests only.

How much does PTO tracking software cost per user?

Timetastic Business is $1.50 per user per month, Vacation Tracker Core is $2 with a $25 monthly minimum, Sling Business is $3.40 billed annually, and AttendanceBot Pro is $6 billed annually. Homebase Plus is $56 per location per month billed annually. These were checked on each vendor's pricing page on October 10, 2026.

Does Sling track PTO for free?

No. Sling's free plan, for up to 30 users, approves or denies time-off requests but does not track paid time off balances. PTO management needs the Business plan, at $3.40 per user per month billed annually or $4.00 billed monthly.

Is AttendanceBot free for 10 people?

No. AttendanceBot is free for up to 5 users. At 10 users the Pro plan, which lists leave accruals and balances, costs $6 per user per month billed annually, which is $60 a month. Billed monthly, it is $9 per user. The page does not say which features the free tier includes.

Why is BambooHR on a list of PTO trackers?

BambooHR is an HR system, not a leave app. Its Core plan includes time-off management with accruals and unlimited custom policies, and for 25 employees or fewer the price is a flat $250 a month. Core also covers employee records, hiring and reporting alongside leave.
